The short answer: the eTA form never asks for a photo or a file, so an upload only comes up when you are asked for documents after applying, and those go into a secure online account, never by email. When the upload fails, it is almost always the account link, the file type or size, a missing signature, or the deadline. If you have not applied yet, you can apply for a Canada eTA through a paid private service, separate from the Government of Canada, with no photo and no uploads at all.
Applying on canada.ca costs only the government fee, and the form there needs just a passport, an email address and a way to pay. Many decisions come back within minutes, while others take several days. If more time is needed, an email with instructions is sent within 72 hours of applying.

Do you need to upload a photo for a Canada eTA?
No. The application asks for a passport, an email address and a payment method, and there is no field for a picture or a file. A photo is mentioned only as the passport page you copy details from.
Photo size rules you may find in search results belong to visa and permanent resident applications, not to the eTA. An upload appears only later, and only if IRCC decides your application needs supporting documents.
What does the request for documents actually ask you to do?
The email does not contain the list. It tells you to create a secure online account, and the list of documents and the deadline are visible only in a message inside that account. For the wording of such emails, read what each eTA email from Canada is telling you.
The deadline counts from the date the request was sent, and canada.ca gives no fixed number of days; the figure is in your message. If you miss it, the application can be refused, so ask for more time before the deadline passes, not after.

Where does the upload happen, step by step?
IRCC shows the whole route in its step-by-step videos for eTA document uploads. In short:
- Create a GCKey, which is a username and password for government online services.
- Move on to the IRCC secure account that opens after GCKey. It is offered in English or French only, and you choose four security questions that must differ from the GCKey ones.
- Link your application. Choose “Link application to this account”, then “Electronic Travel Authorization (eTA)”, and enter the application number that starts with V, your name, date of birth and passport details. Press “Search for my application”, then “Link my application”. A confirmation email follows.
- Open “Check status and messages”, then “Application messages”, and read the message with your list.

Why does the account say your eTA application has no match?
Linking works only when every detail matches the application exactly. Remove any space before or after what you type. If you contacted IRCC after applying and updated any details, including passport information, enter the most recent version. The application number starting with V is case-sensitive, while the name and date of birth are not.
After five failed tries the account locks for 24 hours, so do not guess. If the details look right, use the technical web form: pick “Electronic Travel Authorization”, then “Electronic Travel Authorization – General and Technical Enquiries”, and write in English or French. A reply can take several days, so send it at once. There are also other reasons an eTA application can’t be found.
One cause is easy to miss: a wrong email address on the application means the V number may never have reached you, which is covered in when the email address on the application was wrong.
How do you get a file under 4 MB and in the right format?
Only .tiff, .jpg, .doc, .docx and .pdf files are accepted, each at most 4 MB per upload. To shrink a file:
- Save a scan as a PDF using the minimum size option.
- Scan at a lower resolution, such as 96 DPI.
- Crop empty margins.
- Remove extra pictures from a Word document, then save it as a PDF.
- With no scanner, photograph the page with a phone and pick a smaller image size, which is what IRCC itself suggests. If that is your plan, doing the eTA steps on a phone is worth a look.

Is the upload finished when it says “Success uploading file”?
No. That message only means the file reached the account. Return to your documents and press “Next”. A summary of the fees from your earlier application appears, and the government fee is not charged again.
Then type your name as an electronic signature, answer one of the security questions and press “Sign”. Finally press “Transmit”. Only when you see the message that the additional documents were sent, and the entry shows “Submitted”, has IRCC received them.
What if you can’t upload everything before the deadline?
An extension must be requested before the deadline. If you are waiting for someone else’s document, ask through the account, never by email: write a short letter giving the reason, in the same formats and under 4 MB, press “Upload File” next to the document you cannot provide yet, then submit it the same way as any other document. If the problem is a technical fault with the upload itself, request the extension through IRCC’s technical web form instead.
If you are waiting for a police certificate, the document fields take placeholder details: the name “Request for an extension”, the number 000000, your country of citizenship, and dates in the past and the future. Enter the real details when the certificate arrives.
Wait for the decision before you fly. If departure is close, IRCC suggests you may want to reschedule, and with documents sent but not yet reviewed, you will be stopped at boarding.
What happens after you transmit the documents?
The decision arrives by email and can take several days; no firmer time is given for the review of documents.
